Job Summary

The Volunteer Coordinator plays a vital role in advancing the mission of Gallatin Shalom Zone by recruiting, training, scheduling, supporting, and retaining volunteers who serve across programs and events. This position ensures volunteers feel welcomed, prepared, valued, and connected to the mission through an outgoing & approachable presence, and fostering long-term engagement while helping meet Shalom Zone’s operational and community-impact goals.

Job Responsibilities

Volunteer Recruitment, Engagement & Retention

  • Recruit individual and group volunteers through community outreach, schools, churches, businesses, and civic organizations
  • Serve as the primary point of contact for volunteer inquiries with a welcoming and professional demeanor
  • Match volunteers with opportunities aligned with their skills, interests, and availability
  • Build strong, trusting relationships that encourage ongoing participation and long-term commitment

Training, Onboarding & Support

  • Coordinate volunteer orientations and onboarding
  • Execute volunteer background checks in accordance with organizational policies
  • Ensure volunteers understand expectations, safety procedures, and GSZ values
  • Provide consistent communication, encouragement, and support to promote positive volunteer experiences

Scheduling, Tracking & Systems

  • Maintain volunteer schedules
  • Learn, operate, and maintain CRM and volunteer management system for record keeping, hour tracking, and reporting
  • Maintain accurate volunteer documentation for internal use, board reporting, and grant compliance

Recognition, Growth & Continuous Improvement

  • Plan and support volunteer appreciation and recognition activities
  • Gather feedback to strengthen volunteer satisfaction and retention strategies
  • Participate in professional development, training, workshops, or conferences to enhance skills relevant to volunteer coordination and nonprofit operations

Program, Community & Staff Collaboration

  • Work closely with staff to assess volunteer needs and maximize volunteer effectiveness
  • Provide program support as needed
  • Attend events, meetings, and outreach opportunities to promote Shalom Zone and build partnerships
  • Cultivate relationships that strengthen Shalom Zone’s visibility, collaboration, and overall community impact

Recognition, Growth & Continuous Improvement

  • Plan and support volunteer appreciation and recognition activities
  • Gather feedback to strengthen volunteer satisfaction and retention strategies
  • Participate in professional development, training, workshops, or conferences

Administrative Support

  • Provide general administrative and office support as needed
  • Assist with special projects and organizational initiatives as assigned

Qualifications

  • Outgoing, welcoming personality with a passion for community engagement
  • Advanced emotional intelligence and organizational, interpersonal, and communication skills
  • Ability to manage multiple priorities, meet deadlines, and work independently
  • Adaptable & comfortable navigating a dynamic, ever-changing environment
  • Comfortable with technology, databases, and learning new systems
  • Ability to work occasional evenings and weekends as needed
  • Bachelor’s Degree OR High School diploma with 2 years of relevant experience, OR current student pursuing a degree in nonprofit management, social work, human resources, psychology, leadership, or a related field
  • Passionate about the Shalom Zone mission

  • Ability to stand, walk, and assist with light lifting
  • Reliable transportation
  • Background check required
