Description

The Junior Event Coordinator is a professional in the hospitality and event industry who helps plan and coordinate events. They select venues, adhere to the given budget, arrange onsite vendors and ensure client satisfaction for all scheduled events. Other job titles that are related are event planner and event specialist.

 

CMG’s Junior Event Coordinator must be well-organized and competent in vendor management, as well as communication skills and attention to detail. Enthusiasm and passion for the role must be reflected in every successful event.

 

ESSENTIAL DUTIES and RESPONSIBILITIES, include the following responsibilities, but not limited to:

  • Administrative duties as needed including but not limited to managing approval and tracking of smaller company events across the organization.
  • Work with the Event Team and Event Stakeholders to understand goals and objectives, requirements, parameters and budget for each event.
  • Plan event with attention to financial and time constraints.
  • Create reliable financial reports.
  • Remain under budget with all costs.
  • Book venues and schedule speakers.
  • Research vendors (catering, decorators, musicians etc.) and choose the best combination of quality and cost.
  • Negotiate with vendors to achieve the most favorable term in conjunction with Manager and Legal.
  • Manage all event operations (preparing venue, invitations, etc.).
  • Handle final checks on the day of the event (e.g. tables, technology) to ensure everything meets standards.
  • Oversee event happenings and act quickly to resolve problems.
  • Evaluate event’s success and submit report.
  • Stablishing and maintaining relationships with vendors and venues.
  • Planning event details and aspects, including seating, dining, and guests.
  • Manage events and address potential problems that may arise.
  • Planning for potential scenarios that could impact the integrity of the event.
  • Communicate directly with Management, Executive Team and Event Stakeholders throughout the event planning process to achieve event goals and objectives.
  • Coordinate guest list and vendor specifications.
  • Working closely with the Events Team to ensure event success.
  • Other projects assigned by Manager.

 

QUALIFICATIONS AND EXPERIENCE:

  • Must have 2-3 years of event-related or project management experience.
  • Bachelor’s degree in related field or equivalent work experience.
  • Ability to support West Coast hours. 
  • Event planning process experience
  • Proficient in MS Office.
  • Excellent vendor management skills.
  • Communication and interpersonal skills.
  • Budgeting and Logistics preferred
  • Strong Organizational skills.
  • Able to handle stress and remain calm.
  • Strong problem-solving ability.
  • Able to work well individually and in a group with little oversight.
  • Keeping checklist and milestones up to date.
  • Detailed-oriented and reliable with good time management skills.

PHYSICAL and ENVIRONMENTAL CONDITIONS:

 

This role operates in an ADA compliant office environment, utilizing typical office equipment and tasks including computer work. The position may involve partial stationary positions and moving throughout the day. Flexibility to work overtime to meet project deadlines is required.

 

 

 

Base Compensation Information:

CMG pays a competitive salary which ranges from $58,000 to $68,000. Factors that affect salary may include: Events coordination, administrative skills, MSOffice, vendor management experience.
